Project Coordinator/Mechanical Engineer Technologist

Job Summary

Academy Fabricators Limited Partnership is seeking a technically skilled Project Coordinator (Mechanical Engineering Technologist/EIT) to support the coordination, planning, and execution of industrial fabrication, piping, and mechanical projects. The successful candidate will assist with project scheduling, technical documentation, fabrication drawing coordination, production tracking, quality documentation, and contract administration activities related to structural steel, piping systems, and pressure equipment projects.

Working under the supervision of the Project Manager (Professional Engineer) and in collaboration with engineering and drafting teams, the Project Coordinator (Mechanical Engineering Technologist/EIT) will review technical drawings and specifications, coordinate project changes, monitor fabrication progress, support cost tracking and procurement activities, and ensure project documentation complies with company procedures, engineering requirements, and applicable quality standards. The role involves coordinating activities between drafting, production, quality control, subcontractors, vendors, and clients to support efficient project delivery throughout the full project lifecycle.

Core Responsibilities

  • Coordinate project assignments and workflow distribution in collaboration with the Project Manager to support efficient project execution and resource utilization.
  • Participate in project kick-off meetings to review technical specifications, project scope, production requirements, schedules, and departmental responsibilities; maintain meeting documentation and action records.
  • Establish, organize, and maintain project documentation, technical records, and project management files in accordance with company procedures and document control standards.
  • Review Issued-for-Construction (IFC) drawings, drawing revisions, technical specifications, and customer change requests to identify project modifications and scope changes.
  • Coordinate and track contract change orders, including preparation of change documentation, cost tracking, system updates, and submission for invoicing.
  • Coordinate the preparation and revision of fabrication and production drawings with drafting and engineering support teams.
  • Maintain and update project tracking systems, including spool tracking and production status reports, to monitor fabrication progress across departments.
  • Liaise with the Quality Control department to ensure timely preparation, review, and submission of quality assurance and technical documentation.
  • Support project cost control and billing activities by confirming customer approval of contract values, budget adjustments, and change order values.
  • Prepare, monitor, and update project schedules in coordination with drafting, production, quality control, and project management teams to ensure project milestones are achieved.
  • Review incoming customer drawings and technical documents, assign departmental responsibilities, prepare Change Order Requests (CORs), and communicate schedule impacts where applicable.
  • Monitor and manage the collection, tracking, and submission of change order costs throughout the project lifecycle.
  • Troubleshoot day-to-day technical and production-related project issues and coordinate corrective actions with internal departments under the direction of the Project Manager.
  • Attend production and coordination meetings on behalf of the Project Manager to provide project updates and support operational communication.
  • Compile project data, maintain project progress records, and coordinate timely project invoicing and reporting activities.
  • Assist with the administration of contracts and project documentation, including progress tracking, reporting, and coordination of minor contract requirements.
  • Coordinate subcontractor and vendor activities, including scope review, purchase order administration, schedule coordination, document control, and communication of technical information.
  • Support budget monitoring and procurement activities to ensure subcontractor and vendor services align with project specifications, schedules, and organizational requirements.

Qualifications

  • Completion of two- or three-year college program in mechanical engineering technology
  • 2 to 3 years of experience in mechanical engineering technologist or relevant, preferably in industrial fabrication, oil & gas, or pipeline projects
  • Knowledge of engineering drawings, simulations, and technical documentation
  • Proficiency in engineering technology, project management, Bluebeam and Microsoft Office tools
  • Strong analytical, problem-solving, and communication skills
  • Ability to work effectively in fast-paced, multidisciplinary environments
